AI, in plain English

What is AI, actually?

You've heard the word a thousand times, and most of what's written about it either sounds like magic or like a warning. Here's the honest version, in the words you'd use to a friend over a brew.

The one-minute version

AI is a program that has read an enormous amount of writing and learned how language works. Not a robot, not a mind. Think of it as a very fast, very well-read assistant who has never once worked in your business.

That single sentence explains most of what it can and can't do for you. It's brilliant at the jobs that involve reading, sorting, drafting and noticing patterns. It's useless at knowing your world: your prices, your regulars, the supplier who always quotes in boxes rather than units.

Which is why we don't hand you a chatbot and wish you luck. We build the AI into an app shaped around the way you work, with a person in charge of every step that matters.

Where it earns its keep

Four things it's genuinely good at.

None of these are new jobs. They're the ones you're already doing slowly, in the margins of the day.

Reading a pile so you don't have to

Forty emails, a stack of invoices or a supplier's 20-page price list, pulled into tidy rows of names, dates and numbers that you can check and file.

Having the first go

The reply, the quote, the weekly summary, drafted in your usual wording. You're editing something rather than staring at a blank page.

Keeping an eye on things

A cost that's drifted, a booking nobody confirmed, a stock line about to run dry. It watches the numbers you'd never have time to watch.

Answering from your own paperwork

Search your procedures, product information and past jobs and get a plain-English answer with the source attached, instead of asking around.

A working week

Four jobs small business owners keep asking us for.

  1. Monday

    The inbox

Enquiries arrived over the weekend. The app reads them, files the details, drafts a reply to each and puts the awkward ones in front of you.

  2. Tuesday

    Photos of paperwork

A snapshot of a delivery note or supplier invoice becomes tidy line items with dates and totals, ready for the accounts.

  3. Thursday

    The week's numbers, in words

Not a spreadsheet to interpret, but a short summary: what sold, what cost more than usual, what to keep an eye on.

  4. Friday

    The chasing nobody gets to

It notices which quotes went out and never heard back, drafts the nudge, and leaves you to press send.

These are typical jobs rather than one client's story. Yours would be designed around your own workflow: see what we've actually built.

No hype, no surprises

Where it goes wrong, and what we do about it.

This is the bit most AI marketing leaves out. It's also the bit that decides whether you can rely on the thing.

It can be wrong with total confidence

It writes guesses in the same assured voice as facts. So nothing goes out unchecked: it drafts, a person approves, and you always see what it's about to do.

It doesn't know your business

It hasn't stood in your kitchen or read your terms. Your prices, rules and exceptions get built into the app and tested with you before launch.

Free chatbots learn from what you type into them

We don't put your brief or your data into a public chatbot. Your information stays confidential, your app talks to established business AI services, and the proposal names exactly which ones. NDA on request, before you share a thing.

Left alone, it will happily do more than you asked

No autonomous agents. Every action your app takes is one you've seen and approved, and it never invents a task for itself.

And where AI doesn't belong at all

Plenty of problems don't need it. If a spreadsheet, a cleaner rota or one small change to how you work would fix yours, we'll tell you that before we suggest a build. We'd rather be useful than sell you something.

Straight answers

The questions people actually ask.

Do I need to learn prompts or anything technical?

No. You open the app in your browser and click, the same way you use any website. The AI work happens inside the app, and you never have to write a prompt to get a job done.

Is this an app I download to my phone?

No. Nothing we build goes on the App Store or Google Play, because these aren't products for the general public. They're private tools for the person or organisation that asked for one: a business, a team, or someone running their own home. You open it in a browser on a laptop, tablet or phone, and only the people you invite can get in.

Is my data used to train it?

We don't put your brief, your customer details or your numbers into a public chatbot. Your information stays confidential, we're happy to sign an NDA before you share anything, and we tell you in the proposal exactly which AI services your app talks to and where your data lives.

Will it replace my staff?

No. It takes the boring part of their job: copying details between screens, re-typing a supplier's list, writing the same reply for the ninth time. That gives people time for the customers and the judgement calls a program can't make.

What happens when it gets something wrong?

It will, occasionally, so we design around it. Anything it produces is shown to a person before it goes anywhere, it never sends or changes something on its own, and you can always see where a figure or a sentence came from.

Is it expensive to run?

There is a monthly fee once your app is live: £49 for a Focused App, £79 for an Integrated Business App. That covers the hosting and database, plus management, monitoring, routine maintenance and email support. Usage costs such as AI calls, SMS or payment fees are billed at cost through accounts in your name. Changes and new work are quoted separately, and your quote confirms the likely figure before you commit, so there are no surprises on the bill.

Do I even need AI?

Not always. A spreadsheet, a cleaner rota or one small change to how you work solves a surprising number of problems. If that's the answer for you, we'll say so before suggesting a build.
