Your information, plainly explained.

This notice covers what we collect when you send a brief or an enquiry, what we do with it, where AI comes in, how long we keep it, and what you can ask us to do about it. Written so it can be read, not skimmed past.

Last updated: 30 October 2026

1.Who we are

Appy is a UK business that designs and builds bespoke applications for small and medium-sized businesses and individuals. We are the people who handle the information you send us: we don't resell your brief or pass your details to a call centre.

Questions about this notice, or anything data related, go to hello@weareappy.co.uk.

2.What we collect

Only what we need to have a useful conversation with you. Three things reach us:

  • Your brief. Name, email, phone (optional), company, business type, team size, industry, what's slowing you down, tools you use, what success looks like to you, and your rough budget and timing.
  • An enterprise enquiry. The same kind of detail plus your job title, organisation, sector, number of staff and sites, departments involved, systems you run, and any procurement or security notes.
  • Anything you send by email or say on a call. We treat that exactly like a brief.

Our hosting provider keeps ordinary technical logs (things like IP address, browser type and time of visit) to keep the site running and to spot attacks. That's automatic and it isn't used to build a profile of you.

3.Cookies and tracking

This site doesn't set advertising or tracking cookies, and we don't run third-party ad pixels or behavioural analytics on it. There's nothing to consent to, which is why you won't see a cookie banner.

If a page you're on uses a small piece of browser storage, it's only to make that page work (for example remembering whether a menu is open, or signing you into an app we've built for you). Clearing your browser storage turns that off.

4.What we use your information for

  • To reply, which we aim to do the same or next working day.
  • To prepare for your free exploratory call, so we arrive with useful questions rather than a blank page.
  • To put together a proposal, a fixed quote and, if you'd like one, the rough on-screen sketch of what your app could look like.
  • To keep a record of our conversations and agreements, so nothing gets lost between one email and the next.
  • To deliver and support a project you've commissioned, and to keep the financial records the law asks us to keep.

We don't use your brief for marketing to other people, and we don't sell or rent your details. If you'd rather not receive an occasional note from us about things we've built, say so and we won't.

5.Where AI fits in

Our brief form can turn a rough description into a structured brief, and it can draw a quick sketch of a possible screen. Both of those send the words you typed to an established business AI service, which returns structured text. The key that unlocks that service lives on our server and is never visible in your browser.

We use business arrangements with AI providers, not consumer chatbots, and we don't type your details, your figures or your customers' information into a public chatbot. Our requests carry the setting that asks the provider not to store the input or use it for training. The AI services used on a project are named in the proposal before you commit.

Nothing an AI produces about you is published, shared with other clients, or used to build someone else's app.

6.Where it's kept and how it's protected

Briefs and enquiries are stored in a managed database on our own backend, accessed over encrypted connections. Access is limited to the small team who work with you. We don't put customer data into the example screens on this site: anything shown here uses invented figures and generic labels, and it says so.

We'll sign an NDA before you share anything sensitive, and we're happy to talk through security questions before work starts, including for larger organisations with procurement requirements.

7.Who else might see it

We don't sell your information. The only people who ever see it are:

  • Our own team, who build and support your app.
  • The AI service described above, when you use the brief helper.
  • The infrastructure providers who host this site and our database, under their own data-processing terms.
  • Your own accountant, lawyer or IT provider, if you ask us to loop them in.
  • Anyone legally entitled to it, if we're lawfully required to disclose it.

If a project goes ahead, hosting and platform accounts for your app are set up in your name and paid for directly by you. Your live app and its data sit in your own account, not ours.

8.How long we keep it

If we're not working together, we keep a brief or enquiry for up to 12 months after we last speak, then delete it. Ask us to keep it longer, or ask us to delete it sooner, and we will.

If we are working together, project records, quotes and invoices are kept for six years, which is what UK accounting and tax rules expect. After a project ends, we keep only what's needed to support the app you've agreed to and to meet those obligations.

9.Your rights

Under UK data protection law you can ask us to:

  • show you what we hold about you,
  • correct anything that's wrong,
  • delete it,
  • stop using it for particular purposes,
  • hand it over in a usable format.

Email hello@weareappy.co.uk and we'll deal with it, normally within one month. If you're unhappy with how we've handled something, you can complain to the Information Commissioner's Office at ico.org.uk. We'd rather you came to us first.

10.Children

Our services are aimed at businesses and adults. We don't knowingly collect information from children.

11.Changes to this notice

We'll update this page when something changes and refresh the date at the top. If a change affects how we use something you've already sent us, we'll tell you by email rather than quietly editing a page.

12.Get in touch

Email hello@weareappy.co.uk and a person will answer, normally the same or next working day.

We're appy to help. If an NDA would make you more comfortable sharing a problem, just ask.
