Terms and conditions

The terms we work to.

Plain-English terms covering the free stage, quotes and payment, who owns what, hosting costs, AI features, support and liability. The short version: no fee before work starts, a fixed price for a defined scope, and the app is yours when it's paid for.

1.Who we are and what these terms cover

Appy is a UK business that designs, builds and supports bespoke applications, and we do all of that in-house. These are the terms we work to. They set out what you can expect from us and what we need from you, so that neither side has to guess.

They apply once you ask us to start work, by accepting a quote in writing. Sending a brief and having the exploratory call are free and create no obligations for you at all.

If anything here conflicts with a signed contract or a specific quote, the contract or quote wins for that project.

2.What's free, and what isn't

  • The brief form, the exploratory call, and the rough on-screen sketch we can produce from your brief: free, with no obligation.
  • Nothing is payable before work starts. Work starts when you've seen a fixed quote and told us to go.
  • If we think an app isn't the right answer, we'll say so. Advice you take without employing us costs nothing.

3.Quotes, scope and changes

Every project gets a written quote with a fixed price for a defined scope: the screens, functions, integrations and data it covers. That quote is valid for 30 days, and it's the price you pay for exactly what's described in it.

Things change. If you ask for something outside the scope, or a system we're connecting to turns out to be more awkward than it looked, we'll show you the extra cost and the effect on timing before doing the work. Nothing extra is billable that you haven't agreed to in writing, and we won't carry on building something you didn't ask for.

Every project is designed from scratch around your workflow. Nothing you commission is a template, and nothing we build for you is handed to anyone else.

4.Payment

  • A 50% deposit starts the work, with the balance on completion, unless your quote says otherwise.
  • Larger builds may be split into milestones, each invoiced as it lands.
  • Invoices are due within 14 days. If payment is late, we may pause the build until it's settled.
  • Any VAT that applies is shown on the quote and the invoice.

We don't take payment for a project before you've seen the quote, and we don't bill hourly without telling you first.

5.Hosting and running costs

A live app needs somewhere to run: hosting, a database, backups and any AI usage it makes. That's a separate monthly cost: £49 for a Focused App and £79 for an Integrated Business App. Bigger or multi-site systems are quoted individually.

Those accounts are set up in your name and paid to the platform directly. We don't mark up the platform cost, and you're never locked into us to keep your app switched on. Your quote flags the likely figure before you commit, and third-party subscriptions we suggest (email delivery, payments, SMS and the like) stay in your name at their own prices.

The monthly fee also covers us looking after the app: monitoring that it stays up and responsive, routine maintenance and updates, and email support when something needs attention. Changes to the app itself, and any new work, are quoted separately.

6.What we ask from you

Builds move quickly when a few things are in place:

  • One person who can make decisions, or quick access to someone who can.
  • The logins, files, data and access we need to build and test properly.
  • Feedback on what we show you, ideally within a couple of working days.
  • A round of testing with your own team before you tell us it's signed off.

Schedules depend on scope, integrations, testing and our existing commitments. When feedback or access is delayed, the finish date moves with it, and we'll tell you as soon as that happens rather than at the deadline.

7.Support after launch

Every build comes with a support period: 30 days on a Focused App and 60 days on an Integrated Business App. During that time we fix anything that doesn't work as the quote described, at no extra charge.

Support means help using the app: walkthroughs and refresher sessions, answers as your team settles in, small tweaks to how things display, and making sure it keeps working as the quote described. It isn't an allowance of new features.

New features, changes of mind, and help after the support period are quoted separately as their own piece of work. There's no automatic monthly support contract and nothing renews without you asking.

8.Who owns what

Once the project is paid for in full, the app belongs to you: the code we wrote for you, the design of your screens, and all of your data and content. That includes the hosting and platform accounts, which are in your name from the start.

We keep our own general know-how, methods and the small generic tools we bring to every job, and we can reuse those. We won't reuse your business logic, your branding or your data.

Open-source and third-party components come with their own licences, which pass through to you with the app. We'll flag any that carry conditions worth knowing about.

9.Confidentiality and your data

What you tell us stays with us. We'll sign an NDA before you share anything sensitive, and we keep your information confidential without needing to be asked twice. How we handle personal data is set out in our privacy notice.

Your data stays yours. We use it only to build and support your app, we don't combine it with another client's data, and we don't publish details of your business, your figures or your customers without your say-so.

10.AI features

We design and engineer your app, and AI supports the build: it writes much of the code, and it may read documents, draft replies or summarise numbers inside your app.

AI gets things wrong with total confidence, so we build it so a person is always in charge: it drafts, you or your team approve, and it never takes an action you didn't design and sign off. No autonomous agents doing things behind your back.

Because of that, we can't guarantee AI output is accurate or complete, and you remain responsible for decisions made from it. Where a step matters, we'll build in a check, a review screen or an audit trail so someone can see what happened and why.

11.Using the app properly

In exchange, we ask that you use what we build lawfully and sensibly:

  • No unlawful use, and no content that's defamatory, infringing or harmful.
  • No attempts to break, disable or reverse-engineer the app or our systems.
  • You're responsible for your own regulatory duties: keeping records, handling personal data, and telling us what your sector requires so we can build it in.
  • You'll keep your logins secure and tell us promptly if you think something has gone wrong.

12.Our promise, and our limits

We work with reasonable skill and care, we build what the quote describes, and we fix anything within the support period that doesn't.

What we can't promise is a business outcome. We won't guarantee a specific saving, a number of new customers, or that a competitor won't copy the idea. Anyone who guarantees that is guessing.

13.Liability

Our liability for a project is limited to the fees you've paid us for it, and we aren't liable for indirect or consequential losses such as lost profit or lost opportunity.

None of this excludes or limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't lawfully be limited.

14.Stopping a project

Either side can end a project by telling the other in writing. You pay for the work we've done up to that point, and on payment you get what exists at that stage, including the code and whatever access you don't already hold.

If we can't finish a job for any reason, we'll hand over everything that's been built and refund any payment for work not done.

15.Third-party services

An app often leans on other companies: hosting, email delivery, payments, maps, AI services. Their terms and prices apply to those parts, and they can change or fail without warning. We're not responsible for their outages or their pricing, but we'll tell you when a service looks risky and suggest alternatives, quoted separately if a change is needed.

16.When life gets in the way

If something outside our reasonable control delays the work (a serious outage, a fire, illness that takes the team out, or similar), that isn't treated as a breach. We'll tell you as soon as we can, agree a revised plan, and pick up as soon as it's practical.

17.Changes to these terms

We may update this page and will refresh the date at the top. The terms in place when you accepted a quote are the terms that apply to that project; new terms apply to work agreed afterwards.

18.Law and disputes

These terms are governed by the law of England and Wales, and disputes are dealt with in the courts of England and Wales. Before anyone reaches for a lawyer, we'd like a conversation: most problems are small ones that get bigger when nobody talks.

19.Contact

Questions about these terms, a quote or a project: hello@weareappy.co.uk.

Here's to appy days. If a term here would put you off before you've spoken to us, tell us which one and we'll talk it through.
